1. Why organise an event?

Events should be a key feature in your marketing mix and/or strategic planning. They enable you to speak directly to specific groups or communities for example, you may wish to launch a project/service, communicate information, raise awareness of a cause or simply celebrate something.

2. What type of events do Vjem deliver?

Whilst we have a great deal of experience in delivering various event formats, we specialise in outdoor and special events such as:

- Fun days

- Community events

- Fundraising events

- Exhibitions

- Festivals

- Concerts

- Celebratory parties

However, we would be happy to discuss your ideas using platforms outside of those listed above.

3. What size events do Vjem manage?

Our smallest event hosted 10 guests, which was a weekend in Paris. It included meetings, private dinners and entertainment. The largest was a street festival attended by up to 100,000 in 2008 as part of the Cultural Olympiad handover celebrations.

4. Will I be able to keep ownership of the event?

Absolutely. Whilst we manage the implementation of the project, we also work closely with you to ensure each phase of delivery meets your objective. Unless there is some unforeseen circumstance, you have our promise that you will work with the same project manager from start to finish.

5. Do I have to use Vjem to manage the entire event?

We will do as much or as little as you ask us to. It’s really up to you. Some of our clients use us to manage either the venue, entertainment or catering and they take care of the rest. This is because as an event management company, we buy the services of suppliers to the event industry in bulk, such as venues, performers, staging etc and therefore secure discounts on services rendered. This in turn saves you money.

6. Can Vjem help with the legalities involved in delivering an event?

Indeed we can. We will deal with all your permits, insurance, licenses, road closures, risk assessments, emergency plans etc whilst you get on with the planning side of things.

7. Why should I use Vjem to source my venue?

Simple.

(a) You benefit from our specialist knowledge of venues throughout the UK

(b) We often secure better rates because of our strong relationship with a large number of these venues, and

(c) Because it’s absolutely free to use.

The search for a venue can be quite daunting as there is a lot of choice and things to think about.  You have to think realistically how long it will take you to assess them all?  We will inevitably save you the time … and costs … involved in looking so let our venue expert take on this task for you. You can then focus on other tasks.

8. How does the venue finding service work then?

We ask you for a brief covering all your needs such as the location, numbers, format and style. We then carry out a search and present you with a short list of four options in a proposal usually within 24 or 48 hours, depending on the complexity and timescale we are working to, for your consideration.

We always recommend that you accompany us on a visit to the venue if you are not familiar with it before making your selection. This is particularly important for larger events and will enable you to discuss your requirements directly with the venue.

If the proposed venues are not suitable, we will review the brief with you and continue the search until we source a suitable venue.

9. Does the venue increase the hire fee to cover the cost of Vjem’s commission?

No. Quite often we negotiate exclusive rates for you because of our working relationship with the venues. This is because it’s likely we are using them for other clients and events too.

10. Do we pay Vjem or the venue for the hire?

You pay the venue as all contracts and payments are processed directly between the client and the venue.
